CONFERENCE SPEAKER GUIDELINES

Speaker Application
All interested speakers are expected to submit an application for consideration. You may apply online here
•    Review the conference theme, description and topics
•    Use the speaker proposal submission form to submit a proposal that is relevant to the topic described.
•    The speaker will need to submit the title and a brief abstract of their presentation (not more than 250 words)
•    The abstract submission deadline for the AVOCADO AFRICA is Friday, April 12th 2024. However, AVOCADO AFRICA is pleased to accept proposals anytime, even before we issue a Call for Speakers, or after the deadline has passed. Please note, after the deadline, as the Conference Committee will get underway with speaker proposal selection, the earlier proposals are submitted, the higher the probability it will have of being accepted by the Committee
•    The committee does not accept sales pitches or marketing presentations.
•    If you will be coordinating participation on behalf of a Speaker, please provide all your contact information in addition to that of the Speaker.
•    AVOCADO AFRICA Secretariat will contact you if your proposal is accepted.
•    Should you have any questions about the status of your proposal, or have any other questions about the  Call for Speakers, please email secretariat@avocadoafrica.com

Speaker Selection
The selection of a Speaker for the AVOCADO AFRICA is entirely independent of any commercial consideration and is based solely on merit as determined in consensus Conference Committee.
 
Below are the top reasons an abstract may be accepted or rejected by the Conference Committee.
Reasons why a proposal is accepted:
1.    Abstract is clear and focused
2.    Includes real case studies
3.    Showcases innovative approaches Reasons why a proposal is rejected:
1.    Is mostly a sales pitch
2.    Lack of detail
3.    Lack of focus

Speaker Registration
Only approved speakers will be contacted by the Secretariat. Once an abstract has been approved, the Secretariat will notify the speaker and they will be requested to send their bio and photo.
Please note that AVOCADO AFRICA will not cater for any expenses related to the speaker i.e. travel and accommodation expenses. AVOCADO AFRICA will however, fully waive the conference registration fee for all confirmed speakers.

Speaker Timing
Each speaker is allotted 20 minutes for their presentation. There will be a QnA segment at the end of each session.
AVOCADO AFRICA represents a gathering of key avocado stakeholders from across the globe. Therefore, speaking at the AVOCADO AFRICA is not only ideal to impart knowledge and experiences but is also the basis for engaging in discussions between Speakers and the delegates. Speakers will need to adapt their presentations so that key learnings are communicated, clearly and concisely, within the allotted time, and refraining from any possible "sales" contents which is perceived to reduce the credibility of the insights presented and is not appreciated by the audience.
 
Speaker Presentation Format
There will be a minimum of 3 speakers per session. Each speaker is allotted 20 minutes each with a 30 min QnA segment and discussion at the end of the session. This format aims to maximize the interaction between Speaker & delegates, and to give as many experts as possible an opportunity to contribute. Each session is moderated by an experienced industry representative.
For approved speakers, the deadline for receiving your final presentation is: Wednesday 1st May  2024. In case of any changes to your presentation, you may submit the final draft of your presentation on a flash disk/ memory stick to the team on-site who will be handling speaker registrations.
Please note speakers are expected to be at the Speaker’s Room 30 minutes before a session starts for a pre-meeting with the session chairs and moderator.
Your presentation will be set on the prepared computer with USB for each session (You will not be able to use your own computer for the presentation)

Speaker Substitution, Addition or Cancellation
Since speakers are chosen by the Conference Committee for their specialist knowledge and skills (not because of the company that they represent), AVOCADO AFRICA generally does not allow Speaker substitutions except in situations where the substitute Is proven to be equally knowledgeable and skilled in the specific subject matter.
If for some reason a Speaker needs to cancel their participation, please inform us as soon as possible by emailing secretariat@avocadoafrica.com

AVOCADO AFRICA reserves the right to cancel a Speaker engagement should the Speaker fail to comply with deadlines and criteria for presentations. Should AVOCADO AFRICA find it necessary to cancel a Speaker for this reason, there will be no obligation on behalf of AVOCADO AFRICA to refund any fees or costs related to the Speaker attendance to the AVOCADO AFRICA

Upcoming Deadlines
The Conference Committee meets once per month to review and select speaker proposals. The earlier proposals are submitted, the higher the probability it will have of being accepted by the Committee.
 
Deadline for submitting Abstract Proposal: April 8th, 2024
Deadline for submitting Speaker Bio and Photo: April 12, 2024
Deadline for submitting final PowerPoint Presentations: May 1st, 2024
